The situation
A new dental clinic was entering a competitive local market with a long-term growth plan. The founders intended to expand across the state, which meant early infrastructure decisions, from how the website was built to how a lead got logged. One that can hold up under future scale while also supporting day-one marketing needs.
The approach
A Unified Digital Front Door
The website was built natively on HubSpot CMS, with the CRM at its core. A connected digital experience where website interactions, from form submissions to page activity and booking enquiries, all flowed directly into the contact record.
Social, Connected to the Same System
LinkedIn, Facebook, Instagram, YouTube, and X were brought into HubSpot’s social tools, creating one environment for publishing, monitoring, and tracking activity across channels. More importantly, social interactions and enquiries could be connected to the same contact journey as website activity, giving the team a clearer view of how prospects discovered and engaged with the clinic.
Paid Leads, Tracked From Source to Enquiry
Google and Meta lead generation were connected directly to HubSpot, allowing new leads to flow into the CRM with their campaign and source information attached. Giving the marketing and front-desk teams visibility into where enquiries were coming from and how campaigns were contributing to the pipeline.
A CRM Built Into the Day-to-Day Operation
A connected enquiry-to-appointment workflow that gave the clinic a clearer operating view of its marketing and patient acquisition efforts. A structured CRM that supported front-desk and marketing across paid campaigns, organic channels, and referrals captured, staged, and followed up within HubSpot.
Why it was built this way
Structuring the foundation as one replicable architecture meant every new branch could be brought into the same environment without rebuilding the system from scratch. The same lead-routing logic, reporting structure and central patient database could extend across locations, giving the team a consistent way to manage and measure the business as it grew.
The Results
More visibility. More engagement. More qualified demand.
The shift from disconnected marketing activity to a connected ecosystem created measurable movement across key channels.
Email became a stronger source of conversion
~33% average open rate Up
from approximately 10%.
5–6% average click rate
Up from 1%.
~50% increased conversions per month
The improvement demonstrated the role of a structured, segmented email ecosystem in converting an audience that already had familiarity with the category.
Paid campaigns became more targeted
Improved category and audience targeting generated approximately 80% of leads per month through paid campaigns.
Rather than simply increasing traffic, the focus shifted toward bringing the right audiences into the marketing ecosystem.
Webinars amplified engagement across channels
Recurring webinars became a strong source of market interest.
During webinar-led campaigns:
- Email interaction grew by nearly 5×.
- Website traffic grew by approximately 10×.
The campaigns also generated higher-quality lead conversion during the month, showing how a single market-facing event could create activity across multiple connected channels.
The marketing journey became visible
One of the strongest qualitative signals came when the client began seeing leads progress through the marketing journey that had been deliberately built — from initial interaction through engagement and conversion.
The work also helped internal teams develop stronger alignment around the industry, buyer behavior, and the brand’s communication style.
